AIDA: document and case management without the paper
AIDA gives managers and employees constant access to the documents, cases and tasks they are responsible for. It is configurable, scalable and designed for administrations and companies with a large flow of documents.
What you can do with AIDA
Register and route documents
Incoming, outgoing and internal documents get their registration number, routing and access rights automatically, and everyone involved is notified.
Work in cases
Documents, tasks and comments are grouped in cases, and cases can be linked to each other.
Approve and sign electronically
Documents are sent for approval and signing. AIDA produces the PDF and stamps it with a digital signature.
Assign and follow tasks
Tasks are assigned to people or groups, delegated and tracked to completion.
Keep deadlines
Every document, case and task has a deadline. Reminders arrive one by one or in a daily bulletin.
Model your processes
Design any administrative process and start it automatically on an event or a document type.
Configured by you
Document types, templates, categories, registration schemes, archiving rules, workflows and validations are set in the administration panel, without programming. When a procedure changes, your administrators change it in the system.
- Organisational structure. Departments, functional groups, hierarchies and managers are modelled in full.
- Substitution. When someone is on leave or ill, a substitute is appointed and their tasks are handled.
- Security. Access to cases, documents and tasks is set by role, department or user, and each document type has a security level.
- Self-service portal. Employees or customers submit requests and follow them online.
In use at the National Customs Agency
The Bulgarian National Customs Agency uses AIDA for document and case management. The system has been in production since 2014. It includes a portal for electronic services and the Agency’s administrative services, and the Agency changes its process definitions on its own.
